This is a draft document pending approval at the next regularly scheduled meeting on (Tuesday), February 14, 2023. The Tri-State Senior Softball League (TSSSL) convened for a scheduled monthly meeting on Tuesday, January 10, 2023 from 5:57 PM – 6:35 PM. The meeting was held at Wacohu Grange Hall, 16412 National Pike, Hagerstown, MD. The following Board members were in attendance: President-Dave Barnhart, Vice President-Donnie Helman, Treasurer-Tommy Hyme , Secretary/Webmaster-Mark Plumley, and League Manager-Bob Thomas. 17 additional league members were in attendance this evening. The President, Dave commenced the meeting at 5:57 PM and requested a motion to accept the November meeting minutes posted on our league website. Minutes were motioned and approved as written with no changes. Old Business: President, Dave opened by advising the members that the Board has been working hard to make all necessary changes related to the new league name and to set up our new accounts. Dave advised that he has brought additional Registration and Waiver Forms and they were at the table. President asked Treasurer Tommy for his input and report. Treasurer, Tommy advised that he and the league Secretary have opened new checking and savings accounts for the Tri-State Senior Softball League. These accounts were opened at M&T Bank, and the Secretary is now listed as a second signatory. The accounts were opened with an opening balance of $1236.00 in the TSSSL checking account and $3448.00 in the TSSSL savings account. He advised that the completion of our 501.C7 designation is still in progress. As Dave promised in a previous meeting, he would provide transparency to the members, with regards to our total costs required to operate the league. Dave with Tommy's and assistance and the Boards review, put together two expense report spreadsheets reflecting the cost per player considering a 7 and 8 Team league. (I.E; Registration fee, shirts and hat price, new softball cost, fields, League Insurance). New Business Dave, explained some of the ideas that have been discussed regarding fund raising events that we can use and they are listed below: - Online Fund Raiser through BJ's Embroidery - Food Nights at Stonebridge Pizzeria & Tavern - Food Nights at Jersey Mike's - 50/50 Raffles at All Star Game and/or League Championship Game - Off-Season Bonanza Dave requested input from League Manager- Bob Thomas. Bob explained that he had just reached out to the Stonebridge Pizzeria owner on a possible fund raiser. He received a positive response this evening. Dates and time-frame to be determined. Bob explained that the League Manager meeting will be held next Monday evening at 6:30 PM at Stonebridge Pizzeria. Discussions to be on any rule adjustments or modifications. - League member, Craig Metz suggested that the league have a designated meeting here at the Wacohu Grange Hall, with emphasis being to answer questions for potential new Managers and Assistant Managers that they may have. Also, this meeting can provide information and a better understanding to the League as a whole, on how our TSSSL conducts it's Draft process and building our Teams annually. Any other issues or concerns for the operation of the league can be discussed. It was decided that we will have this meeting on March 14, immediately following our regularly scheduled business being conducted from 6:00 to 6:30 PM. - A question was posed as to considering raising our current Registration Fee by possibly 10-15 dollars. President pointed out that it has been discussed, but we would like to use our Sponsorship donations and Fund raising money first and that we will continue to operate with a $50.00 registration fee for this season. Still to be considered for next season. - Craig suggested that we utilize Wednesday mornings at Halfway Park for additional batting practice for all league members or individual teams if they choose. The Board was in agreement with that proposal. - League member, Randy Moffet inquired about having individual player photographs being added on our website. This would also assist Managers, new and old, with their player selections during our annual draft. Webmaster explained that we do have the room or storage capacity on our website, but we would also have to receive permission from the individual player prior to posting. Definitely being considered. - Secretary/Webmaster, Mark explained that the website, email and facebook page changes are a work in progress. Advised those in attendance, that if they feel they are not receiving emails from our new email account (tsssl1@yahoo.com) to check their "Junk" or "Spam" folders. There is a likelihood that it maybe being blocked or quarantined due to infrequent use or being new to their email servers. With our new accounts being established, on-line registration via PayPal is very close to being completed. The 2023 Registration and Waiver Form has been uploaded to our homepage and is available for printing and mailing of checks to the Treasurer. - Dave explained that our sponsors have not yet been determined, but that the letters will be going out in the next week. Some additional sponsors were suggested and will be considered. The next scheduled meeting is proposed for (Tuesday) February 14, 2023. A motion was made to close the meeting and seconded. The meeting adjourned at 6:35 PM.
